Waldorf University staff have been working over the last year to transition our internal systems to Jenzabar One – a new Student Information System that will allow us to better modernize our core student support mechanism, streamline our processes, and better serve our entire campus community. With this transition comes several changes that you – our students – will experience. These changes are outlined below.

There is a three week period where staff will be in-between systems. Our current system will be in “view only” mode and the MyWaldorf student portal URL will temporarily redirect. This means during this period some of our capability to serve you will be limited.
What Waldorf students CAN do between September 11 and October 2:
- Access all your online courses – just go directly to online.waldorf.edu
- Submit enrollments for future terms by communicating with your AA or Student Services Rep
- Submit complaints and appeals – just reach out to your Student Services Rep or Academic Advisor
- Order official transcripts –You can order official transcripts as you would normally, through Parchment.
- Access course support through Tutor.com and through your AA.
- Request a course extension – email your AA or Student Services Rep
- Withdraw from a course –use this form.
- Request education verification – email transcripts@waldorf.edu
What Waldorf students CANNOT do between September 11 and October 2:
- Access the MyWaldorf Student Portal (the new portal is expected to come online on October 7) – the URL for the portal will forward here while the portal is offline.
- Set up new payment plans
- Change your major
What Waldorf staff CAN do between September 11 and October 2:
- Admit students to the University – no impacts
- Conduct transcript or credit transfer evaluations – no impacts
- Submit enrollments for future terms – no impacts
- Provide student and academic support – email or call your Student Services Rep or Academic Advisor
- Facilitate complaints and appeals– email or call your Student Services Rep or Academic Advisor
- Facilitate course extension requests– email or call your Student Services Rep or Academic Advisor
- Facilitate course drops/withdrawals - use this form.
- Facilitate Official Transcript Requests – Utilize Parchment, as normal
- Education verification – email transcripts@waldorf.edu
- Process payments for students on previously set up payment plans – these should occur as scheduled, but if you have questions email accounting@waldorf.edu.
These services, while available, will be subject to delays as we do these processes manually.
What Waldorf staff CANNOT do between September 11 and October 5:
- Fully complete enrollments for 3A27.
- We can collect enrollment intentions and will process them on October 5.
- Set up new payment plans on your behalf
- Once our new student portal is live on October 7, you will be able to set up your own payments plans.
- Change your major for you
- Once we are transitioned over, we can process these requests.

As a part of this software transition we are redesigning our student portal on the new Jenzabar portal platform, JICS. This modular portal design will allow us to develop a more streamlined student experience and make design adjustments and content inclusions where our former/current portal does not.
TIMELINE
The current MyWaldorf student portal will be offline during the "Sunset" period between September 11 and October 7. During this time, automated services, form submissions, and information uploads will be frozen, with various student needs being processed manually. On October 7, we expect to transition to our new portal hosted by Jenzabar. The URL to access the portal will remain the same: mywaldorf.waldorf.edu.
During "Sunset", YOU WILL RETAIN FULL ACCESS TO YOUR ONLINE COURSES. You can access them directly through the URL online.waldorf.edu.
After we transition access to the new portal on October 7, there will be some functionality limitations while we continue to build out certain features. Also, please be aware the navigation will be different. If you struggle to find certain things in the portal, please reach out to your Student Services Rep!

Our payment plans will now be even more flexible for you and allow you to make payments at whatever interval you choose within the first month of each term. Every 4 weeks, you will have a balance due, with the option to schedule an automatic charge that day, but you may also make payments towards that, or a future month’s, balance whenever you’d like.
A sample payment plan example is below:
Sally registers for 2A27 on 8/1/2026
20% of Sally’s course cost is due by 9/8/2026, which is the last day to drop from the course without penalty.
The remaining 80% of course cost is due by 10/8/2026.
Sally registers for 3A27 on 10/10/2026.
Sally completes 2A27 on 10/27/2026.
20% of Sally’s 3A27 course cost is due by 11/10/2026, which is the last day to drop without penalty.
The remaining 80% of the course cost is due by 12/10/2026.
And so on.

Here is that same example, shown differently:
Sally, a student paying out of pocket for her education, is registering for BUS 3826 and SPC 1010 in 2A27. She elects to allow us to auto-charge her the monthly balance due on the due dates of 9/8 and 10/8. The $345 per credit hour plus the $60 Resource Fee per course brings her total tuition to $2,190.
Sally processes her registration on August 1, and she has a little over a month to make a 20% payment of $438. Sally logs in to make a payment of $200 on August 15 and then a payment of $238 again on September 2, the first day of the term. Because this first balance is paid in full, no automatic charge is made on 9/8.
The remining balance on Sally’s account for the term is $1,752 which is due on 10/8. She logs in on 9/22 to make a $200 payment towards that balance. Then, the next week, on 10/1, she logs in again to make a payment of $1000, which leaves her remaining balance at $552. On 10/8, because Sally has selected to be auto-charged, we automatically process her payment of $552. For all charges made online using her credit card she was also charged a 3% convenience fee.

In essence, 20% will always be due by the last day of the drop period, and the remaining 80% balance will always be due one month later. Based on when you register for the term and sign up for the payment plan, you’ll be able to extend flexibility of payment. You can pay as much as you’d like ahead of each deadline, for example, if you want to pay 80% before the term even begins, you’ll have the flexibility to do so.
You will be able to make payments via credit card, check, or bill pay.

To better align our ability to support students, we have revised our course withdrawal and withdrawal refund policies.
As of July 1, 2026 with term 1A27, students wishing to withdraw from a course must do so prior to the conclusion of Week 5 of the term.
Alongside this change, we are also revising our withdrawal refund policy to eliminate the registration fee for students electing to withdraw. In the past, a 20% withdraw fee, max of $150 per term, was charged for anyone dropping the class after the conclusion of week 1. That fee has been eliminated, and our refund policy revised slightly to provide day ranges instead of weeks.
The new policy, in full, is below:
Online Programs Students who wish to drop or withdraw from the University are encouraged to complete the Course Drop/Withdrawal Form located in myWaldorf Student Portal; however, students may withdraw in any manner by contacting the Offices of the Online Registrar. Online students wishing to withdraw from a course must do so prior to the conclusion of Week 5 of the term.
Any tuition refunds due will be issued within thirty (30) business days. Tuition refunds for course withdrawals are based on the Refund Policy for Online Programs.
Full Tuition will be refunded for canceling a course within seven (7) calendar days from the term start date. The Resource fee will be refunded only for students who have not submitted any work in the course. The remaining tuition will be refunded based on the course start date and the tuition percentage amounts listed below.

≤ 7 Days: 100%
8-14 Days: 80%
15-21 Days: 60%
22-28 Days: 40%
29-33 Days: 20%
34-56 Days: 0%Refunds are issued from 0 percent to 60 percent on completion of calendar days in the term, in compliance with regulatory requirements. Therefore, refund eligibility occurs up to the 60 percent threshold, prior to the conclusion of Week 5. Students are not permitted to withdraw from a course after conclusion of Week 5.
During this transition, your access to courses remains uninterrupted. You can go to your courses directly by visiting online.waldorf.edu.
